Intelligent Business Workflow
A supplier invoice arrives by email. AI reads it, the workflow checks it against the purchase order, and only clean invoices are posted. Everything else goes to a person.
01 · Business problem
The problem
Finance teams re-key invoice details from email attachments into the accounting system, then chase mismatches by hand. It is slow, error-prone and hard to audit.
02 · Initial workflow
How it works today
- Invoices arrive as PDF attachments in a shared inbox.
- Someone opens each one and types the supplier, amounts and PO number into the accounting system.
- Mismatches against the purchase order are found late, often at payment time.
03 · Proposed solution
The solution
An intake workflow that reads each invoice, extracts the fields, validates them against the purchase order and business rules, and posts clean invoices. Exceptions are routed to a reviewer with the reason attached.
04 · System architecture
How it fits together
Input
Invoice arrives
PDF attachment in a monitored inbox
AI step
AI extracts fields
Supplier, dates, line items, totals, PO number
Rule / check
Validate and match
Required fields present, totals agree with the PO
Human approval
Review exceptions
Mismatches go to a person with the reason
Output
Post to accounts
Approved invoices recorded, every step logged
05 · Scope
What it covers
- One document type (supplier invoices) from one inbox
- Extraction, validation and matching against sample purchase orders
- A review queue for exceptions
- Posting to a sample accounting system
06 · Safeguards
Testing and safeguards
- Nothing is posted unless every required field passes validation
- Low-confidence extractions are treated as exceptions, not guesses
- Every decision is logged with the input that produced it
07 · Limits
Limitations
- Uses sample documents and a mock accounting system, not customer data
- Handwritten or very poor scans would need a different intake step
